Tuned for Dental & Medical Practices

For Dental & Medical Practices sick of letting new-patient calls die in voicemail.

A new patient chips a tooth at 11 AM. Your front desk is checking out two patients and triaging an emergency, so when the phone rings, nobody can pick up. This system answers, runs a HIPAA-aware intake, pre-checks the insurance, and books the same-day emergency slot before they call the practice across town.

By the time the call ends, the SMS confirmation is out with the new-patient form link, the insurance is pre-verified, and your front desk never paused. The whole thing took about 90 seconds.

Hear it in action

The dental demo: real call, real system

This is the actual receptionist on a real dental-practice call. Listen end-to-end: it answers in under a second, takes the full intake, books the slot, fires off the SMS confirmation, and never sounds robotic doing it. This recording is the proof the system works, whichever door you pick. Module 11 of The FCSS Operator Course teaches you to build this exact receptionist yourself, and the AI Department deploys and runs it for you if you'd rather never touch the wiring.

What changes Monday

Here's what the agent does on day one, with no retraining of your front desk. It gets tuned to your insurance carriers, your providers, and your scheduling system before it ever picks up a call, whether you build it from the course or we run it for you.

01

HIPAA-aware intake (chief complaint, last-visit date, allergies, meds) with no PHI retained in third-party systems.

02

Insurance carrier pre-check against your in-network plans (Delta Dental, Aetna, MetLife, Cigna, BCBS).

03

Emergency vs. routine triage with same-day emergency slot booking on the call.

04

Per-provider scheduling: caller asks for Dr. Patel, the bot checks Dr. Patel's actual calendar.

05

Recall outbound calls and Open Dental / Dentrix / Eaglesoft sync built in.

Two ways to get this running

Learn to build it yourself, or have the AI Department run it

The courses teach you every system on this page. The FCSS Operator Course hands you all 21 as checklists, receptionist included, at $499 early bird while we record it and $1,000 at launch, and the full Trifecta bundles all three courses. If your hours are already sold to the chair, the AI Department installs and runs the whole stack for you instead: practice-management integration, multi-provider scheduling, HIPAA review with your compliance team, voice agent from $1,000 a month.

Questions practices always ask

The four we hear before every dental signup.

Is this HIPAA-compliant?
The intake is HIPAA-aware, meaning it collects what your practice needs (chief complaint, last-visit date, meds, allergies) without retaining PHI in third-party systems you don't control. Call recordings live in your environment, the agent's data path is documented end-to-end, and on a done-for-you install we sign a BAA and run the full compliance review as part of onboarding.
Does it work with Open Dental, Dentrix, or Eaglesoft?
Yes, all three, plus Curve, Practice-Web, and the major medical PMs (Athena, Kareo, DrChrono). The booking, the patient record, and the verified insurance push into the system you already use. If your PM has an API or even a CSV import, it gets wired, and Module 11 covers the same wiring if you're building it yourself.
How does insurance pre-verification actually work?
During the call, the agent asks for the carrier and member ID, checks it against your in-network list, and tells the caller in plain language whether they're covered. For PPO plans, the agent can also run a live eligibility check via Vyne or DentalXChange, so the patient walks in already verified.
What happens to calls the bot can't handle?
Anything outside the agent's playbook (a clinical question, a complaint, a billing dispute) gets warm-transferred to the right human at your practice. After hours, it gets captured with a callback request and a full transcript instead. You set the escalation rules, either during onboarding with us or in the module if you build it yourself.

Your front desk just got a second pair of hands.

One discovery call is all it takes. We listen to how your practice answers the phone today, then tell you straight which door fits: learn to build the system in the course, or have the AI Department run it for you.
