Privacy Policy
How we collect, use, and protect your information. Written in plain language so you don't need a JD to read it.

DeskWolf LLC ("DeskWolf," "we," "us") is a California limited liability company headquartered in Highland, CA. We build AI voice agents, AI websites, drop-in operator assets, and full AI installs for small and medium businesses. This policy covers deskwolf.ai, sites.deskwolf.ai, consult.deskwolf.ai, and any other DeskWolf-operated subdomain.
2. What we collect
We collect three buckets of information, and only what we actually need:
Account information
Name, business name, email, and phone number when you fill out a form, book a call, buy a product, or sign up for a free download. If you join the Signal newsletter, just your email.
Payment information
All card and bank details are handled by Stripe, our payment processor. We never see your full card number. We do receive and store the last 4 digits, card brand, billing zip, and Stripe's customer/transaction IDs so we can match a payment to your account.
Usage and device information
Standard server logs (IP address, user-agent, pages viewed, referring URL) and privacy-respecting analytics (aggregated page views and conversion events). For our voice agents, we also process call recordings and transcripts as described in your service agreement — those belong to you, the business that bought the voice agent. Your callers are notified of recording per the call script.
3. How we use it
- Deliver the service you paid for — provisioning your voice agent, building your site, fulfilling your store order, scheduling your consulting sessions.
- Support and communication — replying to your messages, sending transactional emails (receipts, build updates, calendar invites) via Resend.
- Billing — running charges and renewals through Stripe.
- Fraud prevention — flagging suspicious activity, rate-limiting abusive traffic.
- Newsletter — sending The Signal if you opted in. One-click unsubscribe in every issue.
- Product improvement — aggregated, de-identified usage patterns to figure out what's working.
We do not use your data to train public AI models. We do not sell your data to anyone, ever.
4. Who we share it with
We share only what's necessary to run the service, and only with vendors that meet a basic privacy bar:
- Stripe — payments, subscription billing.
- Resend — transactional email delivery.
- Google Workspace — calendar, email, document storage we use to run the business.
- Twilio — phone number provisioning and SMS for voice agent and notification flows.
- ElevenLabs — voice synthesis for the voice agent platform.
- Cloudflare — hosting and DDoS protection for some surfaces.
- Vercel and Railway — hosting for our marketing sites and free tools.
- Legal compliance — if we're served a valid subpoena, court order, or government request, we comply and notify you when allowed.
5. Cookies and tracking
We use a small set of cookies and similar technologies:
- Essential — keep you logged in, remember your cart, secure your session. These cannot be turned off.
- Analytics — aggregate, privacy-respecting analytics so we can see which pages get read. You can opt out at any time via the cookie banner.
We do not run third-party advertising trackers on our domains.
6. Your rights
You can ask us to:
- Show you what data we have about you.
- Export a copy in a portable format.
- Correct anything that's wrong.
- Delete your account and associated data (with the exception of records we're legally required to keep — see retention below).
- Object to certain processing or withdraw consent for the newsletter.
Email hello@deskwolf.ai with the subject line "Data request" and we'll respond within 30 days. California residents have additional rights under the CCPA/CPRA, and we honor "Do Not Sell or Share" requests — though we don't sell data in the first place.
7. Data location and security
Data is stored in United States data centers operated by the vendors listed above. We encrypt data in transit (TLS) and at rest where the vendor supports it. Access inside DeskWolf is limited to team members who need it to do their job. We do not transfer your data outside the US without a lawful basis.
8. Retention
We keep your data as long as your account is active, plus:
- Billing records — 7 years (tax and accounting requirement).
- Call recordings and transcripts — 90 days by default, longer if your service agreement specifies it.
- Newsletter subscription — until you unsubscribe.
- Support emails — 3 years.
Everything else gets purged within 90 days of account closure.
9. Children
DeskWolf is built for business operators. We do not knowingly collect data from anyone under 16. If you believe a child has given us information, email us and we will delete it.
10. Changes to this policy
If we make a material change, we will update the "Last updated" date at the top of this page and, where appropriate, email account holders. Continued use after a change means you accept the new version.
