Tuned for Hotels & Hospitality

For Hotels & Hospitality sick of running a thin overnight desk that drops calls.

A guest in Room 412 calls at 2:14 AM to extend checkout. Your auditor is mid-check-in with a tired family of four. DeskWolf picks up, confirms the late-checkout fee per policy, books the extension, and writes it to your PMS.

Confirmation text goes out in English and Spanish, the whole call wraps in under 75 seconds, and your auditor never paused the check-in. The guest hangs up thinking your night desk is the most competent one they've stayed at this year. You can build that desk yourself from our courses, or have us run it for you.

The hotel demo: real call, real bot

This is the actual agent answering a typical hotel call, end to end. The bot picks up in under a second, takes the late-checkout request, applies your policy, writes it back to the PMS, and sends the confirmation in two languages. Module 11 of The FCSS Operator Course teaches you to build this exact receptionist, and the AI Department deploys the same one for you. Whichever door you pick, this recording is the proof the system is real.

What changes Monday

Here are five things the agent handles on day one, without anyone on your end picking up the receiver. The systems work the same whether you build them from the course or we run them for you.

01

The agent handles booking inquiries end-to-end, quoting accurate nightly rates and confirming open dates straight from your live calendar.

02

Late-checkouts get honored on the spot. The fee charges per your rules and the extension lands in your PMS before the guest hangs up.

03

Amenity and policy questions get answered in English or Spanish out of the box, with the same competence either way. Pool hours, parking, pet policy, late arrival: all handled.

04

When a guest asks "where's a good late-night spot," the agent uses your front desk's actual recommendations, and room-service orders flow straight into the kitchen ticket system.

05

Lost items get logged with the room number and date, and any corporate or group inquiry routes straight to your sales contact with the full context already captured.

The done-for-you door

Rather never touch any of this yourself?

The AI Department deploys the voice agent, the site, and the PMS tie-in for your property, then runs it all with one accountable human on our side. Voice agent from $1,000/mo. Book a free call and we'll name the system your property should start with.

Questions hospitality operators ask first

These come up on almost every discovery call.

Does it integrate with our PMS (Opera, Mews, Cloudbeds, etc.)?
Yes. The agent writes late-checkouts, room blocks, and guest notes back to whatever PMS you run: Opera, Mews, Cloudbeds, RoomKeyPMS, RMS, and most regional systems. If your PMS has an API, the system wires straight in; if it doesn't, it drops into your email or SMS workflow so nothing gets lost in handoff. Module 11 covers the wiring if you build it yourself, and our team handles it on a done-for-you install.
How does the bilingual support actually work? Is it a separate agent?
Same agent. The bot detects the language the guest opens with (English or Spanish, out of the box) and runs the whole conversation in that language with the same competence: same booking flow, same policy lookups, same confirmation texts. Additional languages can be added on a done-for-you install.
What does the night auditor actually see during a call?
Nothing in real time, by design. The whole point is that your auditor never gets interrupted. They get a morning digest covering every call handled, what was booked, what got escalated, and what needs a callback. If something genuinely needs human judgment (a guest demand outside policy, a complaint), the agent escalates to your on-call line immediately.
What happens when a guest wants something the bot shouldn't decide alone?
You set the escalation rules up front. Refunds, comps, late-checkout fee waivers, corporate-account quotes: anything that touches money or policy outside your published rules routes to your night manager's phone or the morning team queue, with a full transcript and a recommended action attached. The bot never makes a call it isn't authorized to make.
Do I have to be technical to build this myself?
No. The FCSS Operator Course is written for owners, and every module is a checklist that names the exact tools and the order to click them in. Module 11 covers the voice receptionist end to end, and the ship-it test is a live number that survives ten of your own test calls. And if you'd rather never touch it, that's what the AI Department is for.

Stop letting your overnight desk be the bottleneck.

It's a thirty-minute call. We walk through your current after-hours volume, look at your PMS, tell you straight what's worth building first, and which door fits: build it yourself from the course, or have us run it. Or skip the call and start with the course today.
